We specialize in translation, subtitling, dubbing, voice-over, MTPE, DTP, transcription, and linguistic staffing for enterprise, government, and AI/ML clients.
Position Overview:
The Project Manager is a seasoned operations lead responsible for independently managing complex, large-scale projects involving multiple languages, formats, and teams. This role is pivotal to the delivery function of the agency, ensuring that all linguistic and media deliverables meet client expectations for quality, timelines, and profitability.
The PM is a primary client-facing role (operational), serving as the bridge between account management, linguists, internal teams, and quality assurance specialists. The ideal candidate brings both hands-on operational agility and a strategic mindset to optimize process, people, and performance.
Key Responsibilities:
Scope & Planning:
Review briefs from account managers or clients and translate them into detailed project plans.
Define timelines, tasks, vendors, tools, and milestones.
Prepare kick-off documentation and internal briefing decks for large-scale projects.
Resource Allocation & Vendor Management:
Allocate linguists and creative vendors based on specialization, availability, and cost targets.
Negotiate rates and ensure contracts and POs are in place.
Maintain a vendor database with performance metrics.
Project Execution:
Oversee day-to-day project execution across languages and services.
Conduct regular stand-ups and internal team syncs.
Implement tools like Trello, Jira, or Monday.com to track execution and dependencies.
Client Communication & Feedback:
Act as the first point of contact for operational discussions with clients.
Send daily/weekly status updates, change requests, and clarification emails.
Gather, log, and implement client feedback promptly.
Budget & Profitability Oversight:
Track project costs, vendor payments, and profitability margins.
Raise flags on overrun risks and propose scope changes or reallocation as needed.
Analyze historical project data for margin trends.
Team & Process Leadership:
Guide junior staff (coordinators, trainees) assigned to the project.
Conduct reviews, approve task plans, and assist in conflict resolution.
Recommend process improvements and workflow automation opportunities.
Quality Assurance:
Oversee quality control processes for each type of deliverable.
Enforce QA checklists, template usage, and client formatting rules.
Liaise with QA leads or editors for final deliverable approval.
Risk Management:
Identify risks early—resource dropouts, tool failures, delivery delays.
Implement mitigation strategies like backup vendors, revised plans, or staggered submissions.
Escalate high-risk issues with proposed solutions.
Reporting & Documentation:
Maintain accurate trackers, cost logs, and internal communication summaries.
Prepare weekly project summaries and delivery checklists.
Ensure all documentation is audit-ready and aligns with SOPs.
Candidate Profile:
