Job Description:

Job Title: Project Coordinator

Location: India (Bangalore/New Delhi HQ/ NOIDA, hybrid/remote as per requirement)

Reports To: Cluster Manager/ Delivery Manager

Role Purpose

The Project Coordinator ensures successful delivery of multilingual projects by managing client expectations, vendor resources, internal teams, budgets, and timelines. This role is crucial in driving both client satisfaction and company profitability, making it one of the most impactful functions in the agency.

Responsibilities & Deliverables

1. Project Planning & Execution

Prepare project scope, timelines, cost estimates, and workflows.

Allocate resources and vendors based on client requirements.

Monitor project milestones and ensure adherence to deadlines.

2. Client Communication & Account Servicing

Serve as the first point of contact for assigned projects.

Provide regular updates to clients on project status.

Address and resolve client concerns swiftly.

3. Vendor & Team Coordination

Select vendors based on language, domain expertise, and cost.

Collaborate with linguists, engineers, and technical teams.

Provide feedback to vendors to improve quality and efficiency.

4. Quality Assurance

Conduct QA checks on deliverables before submission.

Coordinate with in-house reviewers to ensure accuracy and compliance.

Implement corrective actions for any quality issues.

5. Budget & Profitability Management

Monitor project costs and vendor payouts.

Ensure margins remain above organizational thresholds (50%+).

Seek opportunities to optimize workflows and reduce costs.

6. Risk & Issue Management

Proactively identify risks (vendor shortage, technical issues, delays).

Develop contingency plans and corrective actions.

Escalate major issues to senior management.

7. Reporting & Documentation

Maintain detailed project trackers for internal monitoring.

Submit reports on project health, profitability, and client feedback.

Ensure documentation is stored and archived systematically.

Competencies Required

Excellent organizational and time management skills.

Strong interpersonal and communication abilities.

Proficiency in CAT tools, TMS platforms, and project management software.

Ability to multitask and manage high-pressure timelines.

Commercial acumen and focus on profitability.

Performance Evaluation

Performance will be reviewed based on:

KPI achievements (on-time delivery, quality scores, profitability).

Client feedback and repeat business.

Efficiency in vendor utilization.

Risk management effectiveness.

Contribution to process improvement.
